5 Tasks to Give Your VA so You Can Work Less and Do More!

Does the idea of managing your virtual assistant scare you?

Having a virtual assistant is a great way for you to have more time and freedom to do the things you love doing for your business.

But before having time and freedom, you first need to manage your virtual assistant.

A lot of business owners struggle with this because it takes hours and plenty of effort at the beginning.

However, you should think about managing your VA as an investment. If you put in the time and effort to prepare your VA to take over tasks that you can delegate, you are creating time and freedom for your future self.

Here are examples of tasks that you can empower your VA to do:

1. Run email campaigns — Running email campaigns is a great task to get your VA to do because it is time-consuming. As long as you provide your VA with the tools (MailChimp) and data (Google Sheets or MS Excel) to run the campaign, they should be able to do it without any issues.

Create scripts/templates so your VA can reply to most of your emails on your behalf. This way, you only need to spend time replying to the top 1–2 % that require your attention.

2. Publish a monthly newsletter — Publishing a monthly newsletter allows you to be top of mind in relation to the product or service you offer. This is especially true if you have intellectual property that you know people will find useful, you have to get it out there on a regular basis. Monthly newsletters are ideal for you as the business owner since putting them together won’t take too much of your or your VA’s time. On the recipient’s end, receiving a newsletter once a month doesn’t take too much of a commitment and they are likely to read it occasionally.

The best newsletters are the ones that get read so if you can find a VA who is good at writing copy, creating designs, or producing videos, you can put them in charge of the newsletter.

3. Keep CRM updated — A Customer Relationship Management (CRM) tool for most small businesses usually starts out as a spreadsheet in the form of Excel or Google Sheets. As your business grows, you can invest in an actual CRM tool to keep all customer information organized.

Whichever tool you have, the thing to remember is to keep your CRM managed and updated to keep the data relevant. And because maintaining your CRM is tedious, it’s best to assign the task to your VA.

4. Optimize mobile opt-ins — Most people access the internet on their mobile devices so it makes sense to optimize your mobile funnels to maximize the number of opt-ins.

Business owners, authors, coaches, trainers, and speakers would benefit from having a mobile opt-in because it is better than an email or a business card in terms of marketing to clients and getting contact information.

5. Organize photos and videos — Your photo and video assets are crucial for digital marketing. Your VA can organize these assets and tweak them so they look professional and they reflect your brand when posted on social media.

Store the photos in cloud storage like Google Drive and make sure that they are available in the recommended sizes or formats depending on the social media platforms you use.
